• Consignment information such as collection and delivery addresses, contacts and goods descriptions
• Customer Portal account information, including sign-in activity and documents you access
• Operational records including proof of delivery, timings and vehicle telematics
• Website usage data collected through strictly necessary and (with consent) analytics cookies

3. How and why we use personal data

We use personal data to deliver our transport and logistics services, prepare and manage quotations, operate customer accounts, meet legal and regulatory obligations, investigate claims and improve our operations. We do not sell personal data.

Our lawful bases are performance of a contract, compliance with legal obligations, our legitimate interests in operating and improving the business, and consent where required (for example optional analytics cookies and marketing emails).

4. Sharing your information

We share information only where necessary to complete a movement or meet a legal duty. This may include approved carriers and subcontractors within our carrier network, warehouse and terminal operators, customs agents and authorities, insurers and claims handlers, and IT and communication service providers acting on our instructions.

Where an international movement requires it, data may be transferred outside the UK. Any such transfer is made under appropriate safeguards recognised by UK data protection law.

5. Retention

We keep consignment and financial records for a minimum of six years to satisfy statutory accounting, insurance and limitation requirements. Enquiry and quotation records are kept for up to three years unless a longer period is required. Records are deleted or anonymised once they are no longer required.

6. Your rights

You have the right to access, rectify, erase or restrict processing of your personal data, to object to processing based on legitimate interests, to data portability, and to withdraw consent at any time.

7. Security

We apply appropriate technical and organisational measures to protect personal data, including access controls on our Customer Portal, encryption in transit, and restricted internal access on a need-to-know basis.

Our systems are protected by authenticated, role-based access. Portal accounts are restricted to the documents and consignments belonging to the customer account they are approved for.

8. Cookies and website analytics

9. Customer Portal and connected systems

Where your business is approved for Customer Portal access, information shown in the portal — such as consignment status, documents and quotations — may be drawn from our internal transport management system over a secured, authenticated connection.

Portal access is granted at account level to named contacts approved by your business. You are responsible for keeping sign-in credentials confidential and for notifying us promptly if a contact leaves your organisation.

10. Operational records, telematics and CCTV

Vehicles operating on our behalf may carry telematics and camera systems used for safety, driver hours compliance, incident investigation and service verification. Where footage or location data identifies an individual it is treated as personal data, retained only as long as needed for those purposes, and disclosed only to insurers, our legal advisers or the authorities where lawful.

11. Marketing communications

We may send service updates relating to work in progress, which are necessary for performance of a contract. Marketing emails are sent only to business contacts on the basis of consent or a soft opt-in, and every message includes an unsubscribe link.

You can opt out of marketing at any time by using the unsubscribe link or emailing info@johnsonshaulage.com. Opting out of marketing does not stop operational messages about a live consignment.

12. Automated decision-making

We do not make decisions producing legal or similarly significant effects about you based solely on automated processing. Indicative online estimates are guide figures only and are always reviewed by our team before a quotation is issued.

13. Data from third parties

We may receive personal data from your colleagues, from consignees and collection points, from carriers and subcontractors in our approved network, and from credit reference and identity verification agencies where a credit account is requested. Credit searches may be recorded by the agency concerned.

14. Job applicants and carrier partners

Where you apply for a role or apply to join our approved carrier network, we process the details you submit, together with licensing, insurance and compliance documentation, to assess suitability. Unsuccessful applicant records are retained for up to twelve months unless you ask us to delete them sooner.

15. Children's data

Our services are provided business-to-business. This website is not directed at children and we do not knowingly collect personal data relating to anyone under the age of 16.

16. Personal data breaches

We maintain procedures to detect, investigate and report personal data breaches. Where a breach is likely to result in a risk to individuals we will notify the Information Commissioner's Office within 72 hours and, where the risk is high, we will inform affected individuals without undue delay.

We review this notice regularly and will update it to reflect changes in our services, systems or legal obligations. The date at the top of this page shows when it was last revised.
